Free Excel templates for project managers
Three ready-made Excel templates for project managers: a project plan with a Gantt chart, a risk register with a 5×5 matrix and a status report. They are free and download without signing up. Each file opens with a filled-in example — the fictional “tymko.tech website relaunch” project — so you can see what goes into every column.
Templates and the plan generator
Three files — for the plan, the risks and the reports. If you would rather not start from an empty sheet, describe the project to the generator and the AI drafts the plan.
- Project plan with a Gantt chartExcel: phases, tasks, owners, dates and bars across 10 weeks that draw themselves.
- Risk register and 5×5 matrixProbability and impact from 1 to 5, score and level calculated for you, the matrix on its own sheet.
- Project status reportGreen, amber or red status, work done and next steps, milestones, risks and budget — on one page.
- AI project plan generatorDescribe a project and the AI drafts phases, tasks, milestones and risks. Free, no sign-up.
How the templates work
The templates are built for everyday work:
- formulas calculate dates, risk scores and the budget variance, and drop-down lists suggest statuses and categories;
- Excel conditional formatting does the colours: the bars on the plan’s weeks, risk levels, green, amber or red status;
- there are no macros — only formulas, lists and formatting;
- every template exists in Ukrainian, English and Russian: the file’s language matches the page.
When a spreadsheet is not enough
A template works well while one person keeps the plan. Once there are several projects and different people update the tasks, the spreadsheet falls behind: a status was not updated, a risk got lost, the report is put together by hand again.
In Syntra tasks have assignees and deadlines, risks have a level and a response plan, and the AI assistant drafts the status report from live data. A new project can start from a starter template: Project by PMBOK, Software rollout, Location opening and others. Syntra has no Gantt chart: dates show up in task deadlines, in the team calendar and in the project’s forecast completion.
Questions and answers
Are the templates really free?
Yes. They download without signing up and without a card, and the filled-in file stays with you. You do not need Syntra to use them.
Which program do I need to open a template?
The files are saved in Excel format (.xlsx) without macros. The formulas, drop-down lists and conditional formatting in them are standard Excel features.
Why are dates and scores empty in the template?
The template stores formulas without precalculated results: the program calculates them when it opens the file. If Excel opened the file in Protected View, enable editing and the values appear. Viewers that do not calculate formulas show these cells empty.
Can I move the data from a template into Syntra?
Not automatically: the Excel import in Syntra creates projects from a list, not tasks from a plan. It is quicker to start with the plan generator: after you sign up, Syntra turns its draft into a project with tasks, milestones and risks. Another way is a starter project template inside Syntra.
Keep the plan alive in Syntra
A spreadsheet goes stale the moment someone forgets to update it. In Syntra the people doing the work update tasks, risks and statuses, and every morning a digest shows what is overdue and what is stuck.
