A task manager for teams: task tracking with an AI assistant
Syntra is a task manager for teams in which tasks live inside projects: with an assignee, a deadline, tags, a checklist, attachments and comments. The AI assistant creates tasks from the chat, meeting minutes and a photo of a whiteboard, and notifications arrive in the app, by e-mail or in Telegram.
Why tasks get lost
- Work is handed out in chats and meetings, and later nobody remembers who took what.
- Deadlines live in people’s heads or personal notes, so overdue work is noticed too late.
- Personal to-do apps do not show the big picture: a manager cannot see who is overloaded.
How it works in Syntra
- A task with everything it needsAssignee, deadline, priority, tags, a checklist with progress, story points, files up to 50 MB and comments right in the task.Learn more →
- The AI creates tasksWrite “Create a task…” to the assistant — it fills in the fields and waits for your yes. From meeting minutes, action items become tasks with assignees.Learn more →
- A whiteboard photo becomes tasksTake a photo of a whiteboard with notes: Syntra reads them and suggests tasks, skipping the ones already in the project.Learn more →
- Notifications without spamA task assigned, a deadline coming, a new comment — in the app, by e-mail or in Telegram, as each person chooses.Learn more →
- My tasksYour personal page shows your tasks, projects and notifications — on the phone too.Learn more →
- Keyboard searchCtrl+K (⌘K on a Mac) finds projects, tasks, sprints and actions such as “New project”.
Example: tymko.tech marketing launches a campaign
The demo company tymko.tech is a fictional restaurant chain used in the Syntra screenshots. A marketing team of three prepares a seasonal campaign.
- A project from a template. The head of marketing creates a project from the Marketing campaign template: 11 tasks from the brief and media plan to the results report already have an order and deadlines.
- Meeting → tasks. After the meeting with the agency the transcript goes into Minutes; the AI picks out the action items, and the manager confirms the tasks with assignees and dates in one click.
- Work in progress. The designer ticks checklist items in the task Produce materials, the layout files sit in the attachments and the discussion in the comments.
- Reminders. The day before a deadline the assignees get a reminder in Telegram, and the morning digest shows the manager what is overdue.
Good to know
- In Syntra a task always belongs to a project: it is a team tracker, not a personal to-do list.
- There is no time tracking and there are no recurring tasks.
- Deadline reminders by e-mail come from the Business plan and the Telegram bot from Starter; the sprint task board is on Business and Enterprise.
Questions and answers
How is a task manager different from project management software?
A task manager helps hand out and finish tasks, while project management software adds risks, budgets, documents, reports and a portfolio around them. Syntra does both: tasks with assignees and deadlines live inside projects that a manager can see.
Is there a free task tracker?
Yes, the Free plan is free forever: up to 3 users, 5 projects and 100 AI requests a month, with the project kanban and an AI chat that creates tasks. No card is needed to start.
Can I create tasks by voice?
Yes, voice input in the web chat and voice messages in Telegram are available on the Enterprise plan: the AI transcribes the request and carries it out after you confirm. On other plans tasks are created in text — in the Syntra chat or in the Telegram bot.
How does an assignee learn about a new task?
The assignee gets a notification in the app, and by e-mail and in Telegram if those are connected. Several notifications to one person within 10 minutes merge into one e-mail, and the Notify assignee checkbox lets you skip the e-mail for a small change.
