Project portfolio management for PMOs, with an AI assistant
Syntra brings every company project into one portfolio: statuses, health lights for scope, time and budget, risks, a completion forecast and reports for management. The AI assistant answers what is on fire and who is overloaded across all projects at once, with links to the exact tasks and risks.
What gets in the way of a PMO
- Statuses are collected by hand from Excel, e-mail and chats every week, and they are out of date by the meeting.
- Risks are noticed when they are already a crisis: the risk sheet has no owner and no response plan.
- A report for the CEO takes a day, and every department keeps its own spreadsheets in its own format.
- Decisions from meetings get lost: nobody remembers who was supposed to do what.
How it works in Syntra
- The portfolio on one screenProjects by status, category, priority and quarter; the same portfolio as a kanban board you can drag.Learn more →
- Health and budgetEvery project has health lights for scope, time and budget, a planned and actual budget and a completion forecast against the deadline.Learn more →
- Risks with a response planA risk has a level, a response plan and a status; the risk register exports to PDF or Excel.Learn more →
- Morning digestAt 08:55 — what is overdue, stuck or changed; at 09:00 — deadlines in the next 7 days, by e-mail or in Telegram.Learn more →
- Reports for managementA portfolio PDF with the company logo, an Excel file with projects and tasks, a project status report in PDF or Word.Learn more →
- Departments and accessEveryone sees their own area: company and department roles, restricted projects, separate legal entities of a holding.Learn more →
Example: a PMO week at tymko.tech
The demo company tymko.tech is a fictional restaurant chain used in the Syntra screenshots. It runs 8 projects in four departments: IT, marketing, operations and finance.
- Monday, 9:00.The head of the PMO asks the assistant “What is on fire this week?”. Syntra reads every project and answers with a list: the ERP migration has a red light for time, and the restaurant opening in Lviv depends on the kitchen equipment delivery — with links to the risks and tasks.
- The risk gets a plan. The risk “Equipment may arrive after the fire inspection date” has a response plan: a backup inspection date and delivery confirmation by Friday. The assistant creates the new task after the manager confirms.
- Minutes instead of notes. After the meeting the manager pastes the transcript into Minutes: the AI picks out decisions, risks and action items, and each action item becomes a task with an assignee and a deadline after one click.
- A report for the CEO.Before the meeting with the CEO — a portfolio PDF with the company logo and the risk register in Excel from the Reports menu.
Good to know
- The health lights are set by the project manager (or by the assistant when asked) — Syntra does not calculate them on its own.
- Syntra has no Gantt chart and no time tracking; people’s load shows through story points in sprints and in the team calendar.
- The portfolio, the project kanban, risks and the AI chat are on every plan; portfolio trends and export from Starter; departments, the audit log, sprints and the team calendar on Business and Enterprise.
Questions and answers
What is a PMO, and why does it need its own system?
A PMO (project management office) is the team that runs a company’s project portfolio: standards, statuses, risks and reporting. Its own system gives the PMO one source of data instead of a dozen spreadsheets, and gives management the current state without a weekly status hunt.
Can we import our current list of projects from Excel?
Yes, Syntra imports a list of projects from an .xlsx file: the columns Name, Status, Priority, Category, Progress, Quarter, Leader, Comment and Deadline are recognised in English, Ukrainian or Russian. Every row becomes a project with a code such as P-001.
Does Syntra keep a risk register?
Yes, every project has a list of risks with a level, a response plan and an open or closed status, and the portfolio risk register exports to PDF or Excel (from the Starter plan). Risks can be added by hand or recorded by the assistant from a meeting or a document.
How much does Syntra cost for a PMO?
The basic portfolio is free (up to 3 people and 5 projects); Starter costs €49, Business €149 and Enterprise €399 per month for the workspace, excluding VAT. A PMO with several departments usually needs Business: departments and roles, the audit log, sprints, the team calendar and deadline reminders.
